Salary: £30,784 per annum Hours: 40 hours per week Location: Kingston upon Thames (Hybrid: Office & Home) KT1 3GZ
Glendale is looking for a disciplined and detail-oriented Systems and Compliance Administrator to join our management team. This role is the engine room of our local operations, with a primary focus on our Elmbridge contract, while also providing essential support across Kingston and Merton.
You will be responsible for ensuring that our people are paid accurately, our compliance is unassailable and our administrative systems run with absolute precision. Key Responsibilities
Systems and Work Programming
Assist with the daily management of GLive, our primary works programming system, ensuring service delivery is fully tracked, specifically for the Elmbridge contract.
Develop real-time work programmes for Elmbridge, Kingston and Merton to ensure performance is captured against agreed KPIs.
Adapt work programmes in response to stakeholder requests or changing environmental conditions, such as the weather.
Provide training and support to operational staff using mobile applications to ensure data is captured accurately in the field.
QHSE and Reporting
Assist with the implementation and auditing of our Quality, Health, Safety and Environmental (QHSE) standards.
Collate data from the field to produce monthly and annual performance reports that give our management team the clear information they need to make informed decisions.
Act as an internal auditor for QHSE compliance, ensuring we are always ready for external audits.
Contract Administration and Finance
Manage the full lifecycle of our employees, from onboarding documentation to weekly payroll, with 100% accuracy.
Take ownership of invoicing and aged debt, proactively chasing outstanding payments to keep our cash flow healthy.
Use our purchase order system (E5) to source competitive quotes and ensure the team has the kit they need.
Act as the professional first point of contact for the contracts, handling enquiries and keeping our filing systems impeccably organised.
About You

Spreadsheet Expert: You must be more than just comfortable with spreadsheets. We need an expert user, preferably within Google Workspace, who can manage complex data and produce clear updates.
System Minded: You enjoy navigating and implementing digital platforms, including HR software (PXD) and work programming databases (GLive).
Detail-Oriented: You have high standards for your own work. You don’t just check a task; you make sure it is right the first time.
Disciplined: You find satisfaction in building the consistent routines and habits that ensure every deadline is met without fail.
